Insurance clarification letter

Dear President, The following information is forwarded to clarify some issues relating to insurance cover in relation to some Club activities. Would you please ensure your Committe/Club are made aware of them.
 
CLUB INSURANCE DISCUSSIONS
 
At the 2009 November General Meeting there were discussions on some aspects of insurance as a result of issues mentioned in my Insurance Report tabled at that meeting. To ensure that there is no confusion arising therefrom I would like to clarify the following;
 
-DTU Training does not require a specific "event"
application providing there are no members of the public involved. However our insurers TCIS require to be advised by email as follows;
        - kai@tcis.com.au
        - Host Club(s) details
        - Nature of event
        - Venue
        - Date(s)
        - No. of trainees
        - No. of assessors
 
-Club training is a normal Club activity and does not require any separate action
 
-Non Club members participating in Club events such as trips. Our National Insurance policy does not specify the number of "guests" that may attend any given trip as a result of which the issue is open to interpretation by the underwriter in the event of a claim. The policy is meant to cover "Club" trips and if over 50% of attendees are non members then this is clearly not a Club trip. As mentioned in discussions this has been an issue for me in the past and I have used 25% of non member participations as the maximum. Even then the interpretation is open in the event of a claim involving a non member.
 
-Event Insurance (Public Liability) covers Club run events and participation by a Club in a specific event e.g. local show. It must be applied for prior to the event taking place and we ask that this be done a month ahead of the event where possible. It does not cover participation in commercial competition events. Normal Club events such as Funkanas do not require an application as long as they do not involve members of the public, follow normal Club 4WD activities, have no timed events and are not commercial e.g. entrance fees, prize money. These should be advised to our insurers by email as follows;
